Front Desk Representative

Position Overview: We are seeking a friendly, professional, and organized Front Desk Representative to join our team. The Front Desk Representative will be the first point of contact for visitors, clients, and employees, ensuring a positive and welcoming experience. You will be responsible for managing office communications, assisting with administrative tasks, and providing exceptional customer service.

Key Responsibilities:

  • Greeting Visitors: Welcome guests and clients with a warm, professional manner and direct them to the appropriate person or department.
  • Phone Management: Answer incoming calls, make calls,  direct calls to the candidates or clients and make schedule appointments.
  • Scheduling & Appointments: Assist with scheduling meetings, appointments, and conference room bookings. Ensure the office calendar is updated and organized.
  • Mail & Deliveries: Receive and distribute mail, packages, and deliveries; handle outgoing mail and courier services.
  • Office Supplies: Maintain inventory of office supplies and reorder items when necessary. Keep track of office stock and ensure a tidy work environment.
  • Administrative Support: Assist with clerical and administrative tasks, including filing, data entry, and document preparation. Support other departments as needed.
  • Visitor Logs: Manage visitor logs, issue visitor badges, and ensure security protocols are followed.
  • Office Environment: Maintain the cleanliness and organization of the front desk area, lobby, and common areas to create a welcoming atmosphere for guests and staff.
  • Customer Service: Provide excellent customer service by addressing inquiries and resolving issues or directing them to the appropriate department for resolution.
  • Event Coordination: Assist with the preparation and coordination of company events or meetings when required (e.g., catering, conference setup, etc.).
  • Data Entry & Filing: Manage databases, filing systems, and ensure accurate documentation of incoming communications and requests.

  • Tech-Savvy: Proficiency with office equipment (e.g., phones, copiers) and Microsoft Office Suite (Word, Excel, PowerPoint). Experience with scheduling software and office management systems is a plus.
  • Problem-Solving: Ability to address and resolve basic inquiries or issues and escalate complex matters to the appropriate team members.
  • Time Management: Strong ability to prioritize tasks and manage time effectively to meet deadlines and ensure the smooth running of daily operations.
  • Dependability: Punctual and reliable with a strong sense of responsibility in ensuring the front desk operates efficiently.

Education & Experience:

  • High school diploma or equivalent required; associate degree or higher is a plus.
  • Experience in a corporate or office environment is a plus.

 

Physical Requirements:

  • Ability to sit for extended periods of time and perform office tasks.
  • Occasional lifting (up to 15–20 lbs) for handling mail, supplies, or equipment.
  • Must be able to operate standard office equipment such as a phone system, fax machine, and computer.
